A failed automation component shouldn't lock down a production line for days. Yet in plant after plant, routine component failure turns into an extended crisis simply because nobody knows what was installed, which replacement fits or if a working spare is sitting on the shelf.

The missing details are usually basic: full part numbers, firmware versions or repair logs. Without them, technicians spend precious hours playing detective when they should be swapping parts. Better records won't stop every breakdown, but they dramatically speed up your recovery.

Generic Descriptions Don't Cut It

Tagging an asset as just a "servo drive" or "PLC module" might look clean on a high-level inventory list, but it's useless when selecting a replacement. Industrial components in the same product family vary wildly by voltage, current, communications, firmware or any number of other characteristics. Two drives can look identical on the outside and be entirely incompatible internally.

To avoid headaches, log the exact part number straight off the nameplate. Record the serial number, hardware revision, firmware level, option modules and connected feedback devices. Too often, these files live on a single technician's laptop, saved under vague filenames or linked to the wrong machine revision.

Configuration files need to be tied directly to the equipment asset record. The file log should explicitly state:

If a drive fails repeatedly, you don't have a bad drive problem; you might have a cooling, grounding, contamination or power quality problem. Assign Clear Ownership and Start Small
